HSA minutes 17.10.06

1. WINTER FAIR

Date confirmed: Saturday 25th November 3 ‑ 5 p.m.

Lots of stalls and activities proposed, but these can only go ahead with people to organise and run them on the day. We need VOLUNTEERS to sign up now! None of it difficult, and even fun (!) if several people sign up for each activity. The sign‑up board will be kept just inside the main entrance to the Juniors and taken outside in fine weather at the start/ end of the school day. N.B. Need to take to other entrance as well. Y6's and ex‑pupils will also be encouraged to volunteer.

Specific things needed to be sorted out prior to the day. Agreed:
Tombola 2 separate ones children and adults. Netti sorting out equipment and prizes. Also Beanie Tombola being organised.

Bran Tub Jo organising. She will also look into possibility of buying cracker making kits so that we could have a stall for children to make and decorate their own crackers.

We are hoping that Santa will visit us at the Winter Fair as he has in previous years and we'll need to make sure he brings enough presents this year (about 100). Need to make final decision re how much to charge to visit him.

Craft stalls and activities There will be a variety of these upstairs. It can get very busy with people going up and downstairs for the crafts, refreshments and to see Santa. We therefore agreed on a 'one way' system for the stairs, to be marked clearly.

Donations from local shops/businesses Visits to those shops and businesses either helpful in the past or new to the area need to be earned out over half-term or asap the week after. List divided up between Denise, Cathy, Ian, Jo, Netti, Sarah, Clare Nice etc. Jo is to rewrite the letter normally sent out beforehand copies can then be taken out on visits as proof of identity and to help in asking for donations. Anything received of reasonable value to be put in the silent auction. Other tasks for silent auction: 'Admin' before Sarah; Setting up on day Cathy/Netti; Supervising it Shirley/Jill to ask teachers.

Barbecue Denise to check who's willing to organise this.

Hanukkah Sarah is to organise a stall celebrating the festival of Hanukkah.

Spot the Sleigh competition to be held in the hall, Shirley to organise.

Refreshments Jo and Susan to follow up re mince pies.

Info Leaflet to be given out when people arrive Netti to organise. Will show location of stalls etc and list all the shops/ businesses that have supported the Fair.

Publicity: Design A Poster Competition open to all children in the school, to be mentioned in assemblies before half-term. Shirley and Jill to follow up. A few local shops/ businesses will be willing to put up A3 posters; others A4. Also need posters around outside school (+ a banner?)

HSA Noticeboard is in serious need of a revamp. Shirley to organise with Y6' s.

2. EASTER DISCOS
Two dates need to be booked, one for Y3's and Y4's and the other for Y5's and Y6's. They are normally held just before the Easter holidays. Need to find out re availability of DJ asap Netti to follow up.

3. DATE OF NEXT MEETING: Wednesday 15th November at 8pm at the Psalter Tavern N.B. New venue! To discuss progress and final arrangements for Winter Fair. All welcome.
